Job Description of Hostel Warden: Vacancy 16
Location: PDPU Campus, Gandhinagar
Overall Purpose of Job :
To live on site and take an active role in the maintenance of welfare and good order at all times.
To take particular responsibility for reporting incidents occurring during their duty periods.
To provide a link between the University and its residential students.
To help foster a good living environment with special regard to student welfare, discipline, and safety.
Main Activities and Duties :
To ensure that all administrative and residential regulations are observed by residential students.
Calling for such assistance, e.g. Security Team, A&L Team, Estates, Emergency Services etc. as the circumstances dictate.
To be familiar with the University’s emergency, incident, accident and disciplinary procedures and to report, in writing, any relevant matters to the Accommodation Officer. To keep a log of all overnight visitors.
To establish both formal and informal contacts with residential students.
To be an active member of the resident community and to be readily accessible to students. To be available on site at all times whilst on duty as specified in the terms and conditions of appointment.
To foster the formation of community within the Hostel at all times by being visible in the performance of the duties, and having an active regard for the lives and welfare of the residents and to co-operate with other Hostel Wardens in their duty periods to maintain good order and discipline.
To make regular tours of the site during the duty period and to be aware of the life of the Hostel.
To provide cover for duty periods at short notice for sickness or absences of other Hostel Wardens.
To assist other members of University staff in emergencies, fire drills and to assist the Accommodation Officer in communication with the students and in projects involving residents as and when necessary.
To be available to assist the Hostel management with the organization and implementation of induction for new residents at the start of the academic session.
To be available to assist with the arrival of new students at the beginning of each residential period.
To maintain vigilance in Hostel security at all times and to encourage student residents to do the same.
To have a regard, at all times and including vacation periods, for student welfare and the health and safety of residents.
To assist residents with help and advice when it is sought and to refer students to Student Services/Support or other welfare or advice agencies, including medical services, if necessary.
To attend weekly meetings as and when organized.
Alcohol is not to be consumed whilst on duty and you are to remain on campus for the whole period of duty.
Escorting sick students to the Hospital, if there is a need. Maintaining the Guest rooms, if assigned the duty.
Job Description of Security Officer: Vacancy 17
Position Summary : The Security Officer shall be responsible to protect and safeguard students and employees of the University. Also, ensure that all campus and hostel properties are adequately secured at all times.
Responsible for preparing daily incident reports, requisitions and other inter-office memos and ensure that all allegations of the crime and other incidents are investigated and properly recorded.
Security Officer Duties and Responsibilities :
The duty of the security officer shall be round the clock in the University Campus & Hostel.
Direct and coordinate the activities of all security personnel.
Ensure that all security guards render their services that are above and beyond University’s satisfaction and retention.
Ensure the safety and security of students, faculty/staff, and visitors all the times.
Security officer shall supervise In& out of students at the Hostel.
Monitor property against Theft, Fire, and Vandalism.
Documenting reports on incidents in the vicinity.
Alert throughout the shift.
Alarming to weather conditions, Fire or any case of natural adversity caused.
Enforce rule for Student protection if required.
Patrolling in Campus and Hostel at regular intervals.
Monitoring of physical spaces.
Develop, monitor screen and maintain a monthly checklist for all CCTV and other equipment’sat regular intervals.
Record and notify all risks, deviations from hotels safety standards and any untoward incidents.
Track safety record and document medically treated and non-treated injuries.
Watch for suspicious persons entering, exiting or loitering around and in the Campus and Hostel.
Ensure compliance with all security standards and preventative measures.
Monitor and follows proper key control guidelines in loss prevention and in the property.
Conduct investigations and compile reports in a timely manner for any theft, loss, accidents or any aspect that risk the safety of the hotel.
Handles complaints, settling disputes, and resolving grievances and conflicts, or otherwise negotiating with others.
Conduct regular mock fire evacuation drill as per the hotel's emergencies standards.
Implements action plans to monitor and control risk.
Supervision of all Security Personnel and giving clear direction on all security-related aspects.
Coordinate with external police authorities in the investigation and handling of crimes, accidents, Government Ministers moments etc., involving the University students and faculty.
Be available 24 hours a day for genuine emergencies within the property.
Candidate should be ex-serviceman/Retired Police/Experienced Security in charge.
Fluency in Gujarati/Hindi/English in both written and spoken and the capability to follow safety and security rules and procedures without compromises at all times is essential.
Should be a graduate with minimum 1-2 years of relevant experience.
Must have basic computer skills.
